Equipment calibration tracking means one register, recall schedules, and a history you can show — then the PDF certificate from the same loop. Certyfi tracks certification and maintenance on that same asset. It is not a spreadsheet with conditional formatting.
Tracking fails when the due date lives apart from the last result. A CMS that only stores “next due” without the calibration that produced it is a reminder app. Certyfi stores the instrument on the customer, the schedule on the instrument, the worksheet on the visit, and the certificate on the completed job.
Staff add equipment against a customer. Types include weighing, temperature, pressure, electrical, dimensional, medical and other. Make/model typeahead uses the live catalog (global and this lab’s rows). Serial lookup finds an instrument across the tenant and opens that customer. User-facing copy says Equipment; the live table remains Scale.
Schedules are visits. Contract lines can expand to a visit per instrument. Book-in can notify. Due and overdue is the alarm centre: grouped by customer and contract, with a no-email count so you do not pretend a skip is a send. Managers send the pack. Booking preferences (call, email, attend, avoid days, window) warn; they do not silently block.
The worksheet records as-found and as-left, variance, corners when the design has them, NSC numbers, weights used. Open and close times and a technician signature can be stored. Tracking without those fields is a calendar. Tracking with them is evidence.
Completed jobs stay on the customer. Certificates download from the tenant app and the portal. Visit closeout is the day’s sign-off. See CMS and AU certificates.
Upcoming work is grouped by customer with instrument count, type summary and estimated time (fifteen minutes each unless that site has a GPS-start history). My jobs is one card per customer visit. Open in-progress visits stay at the top. That is tracking you can operate, not a chart wallpaper.
Contract lines attach instruments. Book-in expands to a visit per line. You can attach all of a customer’s instruments onto the current contract. Tracking without knowing which assets are on contract is how sites surprise you on the day.
Interactive calendar accept/reject by the customer is not live. Native mobile is not live. Voice fill is later. Tracking still works in the browser field pack today.
