Calibration management software for Australian providers
Calibration management software (CMS) is the system of record for instruments, recall dates, results and certificates. Certyfi is the Australian multi-tenant product for that job — plus the customer portal so the people who own the assets can see the proof.
If you still run the loop in Excel, a shared drive and a desktop licence, you already know the failure mode. Serials live in one sheet. Due dates live in another. The PDF that went to the client lives in email. When an auditor or a site manager asks “show me the last certificate for this asset”, someone hunts. Certyfi keeps one live record from the customer, through the schedule, through PASS / CONDITIONAL PASS / FAIL, through the issued PDF.
What calibration management software is
A CMS is not a generic CMMS and it is not calibrator firmware. It is software for people who certify, calibrate or maintain equipment: register the asset, schedule the visit, record the result, issue the certificate, and leave the customer a window onto that history. Spreadsheets can list serials. They do not assign a technician, preserve as-found and as-left readings, or give the client a login.
Certyfi is built as multi-tenant software. Each provider (a certification business, a calibration lab, a field technician company, a service company) gets a tenant: their brand, their staff, their customers, their certificates. The customer does not run the lab. They get a portal onto the work that was done for them.
How Certyfi runs the live loop
The live product follows one path. Staff add customers and equipment of any type. Schedules sit on those assets — one-off or recurring — with a technician assigned. The technician starts the visit, works the site list, and completes the worksheet: weights or loads used, as-found and as-left, variance, corners only when the design has them. Completing the job can issue a PDF certificate from the modules the lab saved in Report Builder. If a trade instrument was adjusted, a trade measurement certificate can be issued as well. Finish is visit closeout with a customer signature on glass.
That is the loop Google means when someone searches for calibration management software. Certyfi also covers certification and maintenance on the same asset. Same due date. Same customer view. The public site must not pretend Stripe checkout, Xero, a marketplace or an AI-authored certificate are live. They are not.
Certificates and the customer portal
The certificate the customer keeps is the point. Labs choose certificate modules in Report Builder; issued PDFs walk those modules with live calibration data. After the provider creates a portal user, the customer downloads the file and sees what is due. Optional acknowledgement after issue does not block the PDF.

CMS versus spreadsheets
Excel does not have roles. It does not stop two ACTIVE contracts claiming the same instrument. It does not stamp GPS start, pause and resume when a job runs over two days. It does not email a due/overdue pack grouped by customer. Certyfi does those things in the live tenant app. Founding membership during open preview is how providers and asset owners ask to be set up — Super Admin still reviews; the form does not mint a tenant.

What is live versus coming
Live: customers, equipment of any type, schedules and recurrence, technician assignment, job results, PDF certificates from Report Builder, due and overdue, branding, customer portal logins, founding-membership join form (reviewed, no account). Coming and labelled as such: Xero, Stripe checkout, a public provider directory, native mobile apps, an in-app AI widget, Grok voice fill of the worksheet. We will not put those in the hero.

What is calibration management software?
Calibration management software replaces spreadsheets for equipment inventories, due dates, as-found and as-left results, certificates and audit trails. Certyfi is a multi-tenant CMS for providers who also need a customer portal.
Is Certyfi only for weighing instruments?
No. The first production tenant used weighing instruments. The product is equipment-agnostic: any asset that needs certification, calibration or maintenance.
Does completing a job issue a PDF?
Yes. Completing a calibration can produce a PDF certificate from the lab's Report Builder modules and the live result. Pixel-perfect canvas export is not the live engine.
Can customers see the work?
After the provider creates a portal login, customers can view their equipment and download certificates. Public self-serve signup is not live.
Is Certyfi a certification body?
No. Certyfi is software. Accredited and licensed providers do the skilled work inside their own tenant.
